What a Certified Birth Certificate Translation Has to Carry
A caseworker reads a birth certificate for the details that tie a person to their parents, so the translation follows the certificate field by field rather than summarizing it. Long-form and short-form certificates ask for different things, and the full version is the one usually wanted.
What the translation covers
-
Every Field: certificate number, date and place of birth, the child's name, both parents' names, the informant, the registrar and the date the birth was registered.
-
Stamps and Seals: the issuing registry's stamp and seal are described where they sit on the page, and a handwritten correction in the margin is translated rather than dropped.
-
Name Spelling: one transliteration is chosen for the family and kept across the certificate, the passport and the other papers filed with it.
-
Late Registration: a birth recorded years after the event is shown as late, with the registration date and any supporting order named on the certificate translated.
Before you order
Two details change what the office expects, and both come from the certificate itself.
-
Long or Short Form: a short extract leaves out the parents' occupations and the informant, and some filings require those, so send the full certificate if you hold it.
-
Who Receives It: USCIS, a state passport agency and a school district each read the certificate differently, and the statement is worded for the strictest reader in the set.
-
Two Languages: a certificate issued in two languages is still translated in full, because the English half is often a summary and the other half carries the detail.
A photograph of the open certificate, including the reverse, is enough to quote from.

“The 1890s register entry used abbreviations I had never seen, and the translation expanded each one and kept the original beside it.”

Frequently asked questions
DHCTranslations translates birth certificates from a New York base, certifies each one with a signed translator statement and emails the PDF, with same-day work available when the order is confirmed before 4pm ET.
$54 is the floor at DHCTranslations for a certificate up to 400 words. Past that, translation into English is $0.12 per word and English into another language is $0.14 per word, and the certification is part of that figure.
USCIS asks for a complete translation and a signed statement from the translator, which is what 8 CFR 103.2(b)(3) sets out, and DHCTranslations documents have been accepted there. Whether a particular filing is approved stays with the officer reading it.
Send the long form when you hold it. A short extract omits the informant and the parents' occupations, and those are the details a caseworker uses to match a certificate to the person in front of them.
Say which spelling is current and the translation will use it everywhere, with the certificate spelling kept where the original reads differently. One spelling across a set of papers is what stops a file looking like two people.
Yes. A handwritten entry is translated as written, and anything illegible is marked as illegible rather than guessed at, which is what a registry office would do with the same page.
When the reverse carries a stamp, a continuation or a note, it is translated. A blank reverse is recorded in the file rather than left out, so the page count in your quote matches what you send.
DHCTranslations works into English from the language on the certificate and the list runs past 200 pairs. Where we cannot cover a language with a qualified translator, that is said at the quote rather than after payment.
A single certificate confirmed before 4pm ET on a weekday is usually emailed the same day. A set of certificates filed together takes about one business day, and the date in your quote is the estimate we work to.
The certified PDF is the deliverable and is what most filings accept. A printed set is quoted on request, sent by USPS with tracking, and paid for before it goes out.
